Take Control of Your Meetings: Smart Actions & Alternative Tasks ๐
Your Briefing screen just got smarter. Now when meetings show up, you get real actions - not just passive notifications. Skip that optional sync, decline conflicting invites, or work on alternative tasks instead. Your calendar works for you, not the other way around.
๐ฏ The Problem: Meetings Control Your Dayโ
We've all been there. Your calendar says you're in a meeting right now, but:
- It's optional and you have more important work
- The organizer hasn't shown up yet
- You're double-booked and need to decline one
- You could be more productive doing something else
Before, you'd see "Currently in meeting: Team Sync" and... that's it. No actions. No alternatives. Just a passive notification that you're busy.
Not anymore.
โจ Smart Meeting Actionsโ
Your Briefing screen now shows real actions you can take with every meeting:
Start a Focus Timer (Even During Meetings)โ
Meeting prep time? Use the gap before it starts productively:
- Click "Start Timer" to begin a Pomodoro session
- Choose between standard (25 min) or quick (15 min) focus time
- Get work done while technically "in the meeting window"
- Perfect for: Meeting prep, catching up on email, quick tasks
Skip Optional Meetingsโ
That recurring team sync that's only relevant 50% of the time? Skip it:
- One-click "Skip" button for any meeting
- Meeting collapses to a gray minimized state
- Alternative tasks immediately suggested
- Click "Unskip" if plans change
- No notifications sent to organizers (it's your choice)
Decline Conflicting Invitesโ
Double-booked? Got a better option? Decline professionally:
- "Decline" button for meetings you're invited to (not organizing)
- Confirmation dialog shows meeting details
- Sends decline notification via Google/Microsoft Calendar
- Calendar automatically updated
- Alternative tasks suggested immediately
Cancel Meetings (Organizers Only)โ
Realized you need to cancel a meeting you organized?
- "Cancel" button (only shows if you're the organizer)
- Confirmation warns about notifying attendees
- Sends cancellation via Google/Microsoft Calendar
- All attendees get proper notifications
- Alternative tasks suggested for the freed-up time
Pause/Resume/Stop Active Timersโ
Already in a focus session when a meeting shows up?
- Pause your timer to handle the meeting
- Resume when you're back
- Stop if you're switching tasks entirely
- Timer state syncs across all devices
- No lost progress
๐ Alternative Tasks: Don't Just Sit Idleโ
This is where it gets good. When you're in a meeting (or skip one), the Briefing doesn't just show "you're busy" - it shows what else you could be working on.
Smart Suggestions Alongside Meetingsโ
The moment you see a meeting card, you also see:
- 2-3 alternative tasks you could tackle instead
- Collapsible section (expand/collapse with one click)
- Tasks chosen based on:
- Current priority
- Available time until next meeting
- Task dependencies
- Your recent work patterns
- Estimated completion time
Action Buttons on Every Alternativeโ
Each suggested task has real actions:
- "Start" - Mark it as in-progress and dive in
- "Complete" - Already done? Mark it complete
- "Start Timer" - Begin a focused Pomodoro session
- Click the task to see full details
The "Skip & Switch" Workflowโ
Here's the magic flow:
- Meeting shows up: "Team Sync (optional)"
- You click "Skip": Meeting collapses
- Alternatives appear: "Complete quarterly report," "Review budget spreadsheet," "Email follow-ups"
- You click "Start Timer" on the report task
- You're in flow: Working productively instead of sitting in an optional meeting
All in under 10 seconds.
๐ Real Use Casesโ
The Double-Booking Dilemmaโ
Scenario: Two meetings at 2 PM - one with your manager, one optional team sync.
Old way: Switch to calendar app, find the meeting, decline, close calendar, wonder what to do instead.
New way:
- Briefing shows both meetings
- Click "Decline" on the optional one
- Confirm in the dialog
- See alternative tasks: "Prepare for manager 1:1"
- Click "Start Timer" on the prep task
- 15 focused minutes before your real meeting
The No-Show Organizerโ
Scenario: Meeting started 5 minutes ago, organizer hasn't joined.
Old way: Sit there waiting, maybe browse email, waste time.
New way:
- Click "Skip" on the meeting
- Alternative tasks appear
- Start timer on "Review design mockups"
- Get 20 minutes of real work done
- If organizer shows up, click "Unskip" and join
The Morning Optimizationโ
Scenario: 9 AM sync meeting you could probably skip.
Old way: Attend passively, half-listen while wishing you were working.
New way:
- See meeting in Briefing
- Check alternative tasks: "Morning routine habit," "Email inbox zero"
- Click "Skip" on meeting
- Work on high-priority morning tasks instead
- Catch up on meeting notes later
๐จ The User Experienceโ
Meeting Cards Are Information-Denseโ
Every meeting card shows:
- ๐ Meeting title
- ๐ฅ Organizer (if you're attending)
- โฑ๏ธ Time remaining or "Starts in X minutes"
- ๐ด "In meeting now" / ๐ก "Starting soon" status
- ๐ฌ Full action buttons (not hidden in menus)
Smart UI Based on Your Roleโ
If you're the organizer:
- See "Cancel" button (to cancel the whole meeting)
- No "Decline" button (can't decline your own meeting)
If you're an attendee:
- See "Decline" button (to opt out professionally)
- No "Cancel" button (not your meeting to cancel)
Everyone sees:
- "Skip" (personal choice, no notifications)
- "Start Timer" (work during or before the meeting)
- "View in Calendar" (jump to full calendar view)
Confirmation Dialogs That Respect Your Timeโ
When you click destructive actions (Decline, Cancel), you get:
- Meeting details: Title, time, organizer
- Clear consequence: "This will send a decline notification to all attendees"
- Easy out: "Cancel" button to abort
- Commit button: "Decline Meeting" / "Cancel Meeting"
No accidental actions. No surprises.

๐ Available Nowโ
This feature is live in your Briefing screen right now. No feature flags, no beta opt-in, no waiting.
How to Use Itโ
- Go to your Briefing (Home page)
- See meetings in the "What's Next" section
- Click any action button (Skip, Decline, Start Timer, etc.)
- Watch alternative tasks appear when you skip/decline
- Start working on something productive
Tips for Maximum Productivityโ
Make Skip Your Default for Optional Meetings Don't default to "attend." Default to "skip unless I really need to be there." The alternative tasks will show you what you're trading off.
Use Start Timer Liberally Even a 5-minute meeting has a "Start Timer" button. Use that dead time before it starts for quick wins.
Check Alternatives Before Declining Before you decline a meeting, look at the alternative tasks. Maybe one of them is more important, confirming your decision.
Unskip is Forgiving Skipped a meeting but changed your mind? The "Unskip" button is one click away. No pressure.
๐ The Impactโ
Early testing shows users who actively use Skip and Alternative Tasks:
- Attend 30% fewer optional meetings
- Spend 2+ hours/week on high-priority alternatives instead
- Report feeling more in control of their schedule
- Make faster decisions about meeting attendance
One beta tester said: "I used to feel guilty skipping meetings. Now I see exactly what I'm choosing to work on instead, and it makes the decision obvious."
๐ฎ What's Nextโ
This is just the beginning. Coming soon:
- Voice commands: "Hey Kaia, skip this meeting and work on my report"
- Meeting prep suggestions: "You have 15 minutes before your 1:1 - prepare now?"
- Post-meeting actions: "Meeting ended - here's what to tackle next"
- Analytics: "You skipped 5 optional meetings this week and completed 8 high-priority tasks instead"
๐ก The Philosophyโ
Meetings aren't bad. But your time is yours.
When a meeting shows up, you should have real choices:
- Attend
- Skip
- Decline
- Work on something else instead
And those choices should be easy, obvious, and guilt-free.
That's what this feature delivers. Not just passive calendar notifications - active control over your day.
Ready to Take Control?โ
Your Briefing screen is waiting. Next time a meeting shows up, you'll know exactly what to do.
